Job Description:

We are seeking a dynamic and organized Project Coordinator to join our growing team. In this role, you will support project management efforts by facilitating communication, enhancing productivity, and ensuring seamless coordination across all departments. You will collaborate closely with various team members, manage key tools and systems, and help streamline our workflows. The ideal candidate is proactive, detail-oriented, and passionate about optimizing team performance. Exceptional systems and computer skills are a must! Key Responsibilities: Facilitate Team Collaboration: Conduct regular one-on-one online screen-sharing sessions with Utility Coordinators to review tasks, manage workflows in Asana, and enhance coordination. Evaluate Project Efficiency: Analyze project flow, technology, and tools to identify limiting factors and propose system improvements. Monitor and Report: Prepare and present reports on team improvements, issues, and redirections to the CEO and CSO. Support Productivity: Ensure all tech tools are functional and effectively utilized by team members, and suggest new ways to improve productivity. Oversee Filing and Documentation: Verify that all filing and documentation are completed accurately and on time. Operational Support: Address and resolve first-line issues onsite at our automotive repair shop and gas station as needed. Invoice Management: Compile, review, send, and follow up on invoices in a timely manner. HR Coordination: Assist with HR recordkeeping tasks, serving as the "eyes and ears" for the management team, without engaging in policy decisions, conflict resolution, or disciplinary actions. Skills and Qualifications: Experience: 2-3 years of experience in the construction industry as a project coordination, team coordination, or similar role. Technical Skills: Proficiency in project management tools (e.g., Asana), time-tracking software (e.g., Harvest), Microsoft 360, Quickbooks, and Google docs. Communication Skills: Strong verbal and written communication skills, with an ability to convey information clearly and effectively. Organizational Skills: Exceptional organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines. Problem-Solving: A proactive problem-solver who can address and resolve issues efficiently. Detail-Oriented: Strong attention to detail, especially in document management, reporting, and process evaluation. Adaptability: Comfortable working in a fast-paced environment and adapting to changing priorities. Interpersonal Skills: Collaborative and able to build strong relationships with team members at all levels. Preferred Qualifications: Experience in a start-up or fast-paced environment. Familiarity with HR processes and recordkeeping. A background in operations management or administrative support. A background in dry utilities construction.
